When you use the AIAA Capacity Diagnostic wizard or interact with our secure operations dashboards, we collect:

• Identity & Contact Details: Your name, business email address, company name, and phone number (if supplied).
• Diagnostic Assessment Inputs: Sector type, employee headcount numbers, estimated repetitive admin hours, lead volumes, and average response speeds.
• Technical System Metrics: Session storage flags, API container interaction events, and verification logs.

2. How We Use Your Data

We process your data strictly to fulfill our engagement contracts and satisfy UK business obligations:

• To compile and generate your custom Dynamic Capacity Report.
• To calculate true payroll comparison differences and project retainer quote metrics.
• To configure, deploy, and calibrate your dedicated Stage 1 Shadowing data container.
• To track communication logs within our Secure Operations Verification dashboard.

3. Data Residency & Sovereignty

All client communications and diagnostic parameters are hosted inside dedicated, isolated databases located exclusively in London, United Kingdom (or the European Union). Data is fully encrypted both in transit (TLS 1.3) and at rest (AES-256). We maintain a strict policy of database isolation: client records are never mixed, cross-shared, or used to train public LLM models.

4. Data Scrubbing & PII Anonymisation

Our operational gateways employ automated filtering rules to scrub highly sensitive PII (such as bank details, credit numbers, and protected files) before records are parsed to databases. Real-time audio transcriptions are processed transiently and are not cached on public servers.
